Terms and Conditions

1. Booking and Confirmation

  • A booking will be confirmed only after receiving a minimum deposit of 15% of the total tour cost (unless otherwise specified).
  • The balance payment must be made before the starting of the trip or as per the agreed terms.
  • For last-minute bookings full payment is required at the time of confirmation.

2. Payment Methods

  • Payments can be made via bank transfer, credit card, or cash (in USD, EUR, GBP, INR, or NPR).
  • All bank charges, credit card fees, or transaction costs are the responsibility of the client.

3. Cancellation Policy

  • Cancellation must be made in writing (email is acceptable).
  • The following cancellation charges apply:
    30 days or more before departure: 15% of total trip cost.
    15–29 days before departure: 25% of total trip cost.
    7–14 days before departure: 50% of total trip cost.
    Less than 7 days or no-show: 100% of total trip cost.
  • Refunds will not be made for unused services (meals, accommodation, transport, or sightseeing).

Amendments

  • Requests for changes to confirmed itineraries are subject to availability and may incur additional costs.
  • Himalayan Asia Tours reserves the right to change itineraries due to weather, safety, local conditions, or government regulations.

Travel Insurance

  • All travelers are strongly advised to have comprehensive travel insurance covering medical emergencies, trip cancellation, evacuation, accidents, theft, and natural disasters.
  • Proof of insurance may be required before departure for certain treks or tours.

Health and Safety

  • Clients must disclose any medical conditions, disabilities, or health concerns that may affect their participation.
  • Himalayan Asia Tours is not liable for health-related issues arising during the trip.
  • For high-altitude treks, trekkers are responsible for ensuring they are physically fit and prepared.

Responsibility and Liability

  • Himalayan Asia Tours acts as a Tour Operator and arranges services with airlines, hotels, transport providers, and local partners.
  • While every care is taken, the company shall not be held liable for any injury, illness, loss, damage, accident, delay, natural disaster, political unrest, or other circumstances beyond our control.
  • Extra expenses due to unforeseen events (flight delays, strikes, roadblocks, weather conditions, etc.) must be borne by the clients.

Visa and Travel Documents

  • Clients are responsible for obtaining valid visas, permits, and travel documents required for their trip.
  • Himalayan Asia Tours can assist with visa arrangements in Nepal, Bhutan and China (Tibet) but holds no responsibility for visa rejection.

Flights and Delays

  • Domestic and international flights may be subject to delays or cancellations due to weather or technical reasons.
  • The company will assist in making alternative arrangements, but additional costs must be covered by the client.

Accommodation and Meals

  • Accommodation is provided as per the booked itinerary.
  • In case of unavailability, a similar standard hotel/lodge will be arranged.
  • Meals are included only as specified in the itinerary.

Group Tours and Private Tours

  • For group tours, Himalayan Asia Tours reserves the right to cancel a group departure if the minimum number of participants is not met.
  • Private/customized tours can be arranged upon request.

Complaints

  • Any complaints during the trip must be reported immediately to the tour leader or company representative.
  • Written complaints must be submitted within 07 days of trip completion for consideration.

Governing Law

  • These Terms and Conditions are governed by the laws of Nepal.

Acceptance of Terms

By booking with Himalayan Asia Tours and Travels Pvt. Ltd., you acknowledge that you have read, understood, and agreed to these Terms and Conditions.
